File Custody and Storage

  • In the event of closure:

Your state licensing board probably requires you to have a plan for how you will store PHI in your possession, how clients can get their files, and how you’ll meet federal and state file storage requirements.

  • What is your plan for PHI files?

If you don’t have one already, Time Well Spent can help you make a plan and communicate that plan to clients. Clients will need to know who to contact to get their records, how long their records will be stored, and the cost associated with acquiring their records.

  • Your plan can be pretty easy.

You can assign a Time Well Spent expert as a “professional administrator” in your Electronic Health Record. When your business closes, either because of retirement or emergency, your files can easily be moved into our custody for storage.

  • We make it affordable.

A Time Well Spent expert will be named in your EHR for $100 per year. This way, you’re continuously covered in your PHI plan. After your business closure, your clients would contact us for their records as needed and we will store your files for the required time.

  • You're covered.

The combination of your plan created through The Pause or Close Blueprint AND file storage and custody services will likely meet the minimum requirements set by your state licensing board. What an easy way to meet that ethics requirement!

  • Questions?

If you’ve got questions about your state licensing board requirements, digitizing paper files, rules for record keeping and custody, or other factors in protecting PHI after you’ve closed, contact us and we can help you figure it out.
